Cassaday & Company, Inc. is seeking an Executive Assistant to support two producing Senior Vice Presidents and a small team of financial professionals. This role is a unique blend of personal and professional support, including coordinating and confirming schedules, managing emails and calendars, drafting and proof-reading correspondence, handling internal and external communications, and assisting with personal tasks and travel arrangements as needed. The successful candidate will be a trusted partner who thrives in a fast-paced environment, has fastidious attention to detail, possesses exceptional written & verbal communication, and be a self-starter with strong administrative and organizational skills. 

 

These positions report to the Chief of Staff, with room for growth and advancement. 

 

 

RESPONSIBILITIES: 

  1. Email inbox management  

  1. Process and ensure all client requests and incoming correspondence are addressed, including: 

  1. Acknowledging receipt and providing a timeline for follow-up 

  1. Entering tasks in the CRM system. 

  1. Following up with the SVP to ensure tasks are completed in a timely manner. 

  1. Organize & move emails to appropriate folders. 

  1. Tack and prioritize CRM tasks. 

  1. Confirm SVP appointments via email and telephone. 

  1. Professional: coordinate and confirm meetings, calls, and firm-related events across multiple stakeholders. 

  1. Personal: Manage personal calendar items such as appointments, travel, and household-related scheduling to ensure seamless integration with professional obligations. 

  1. Set and follow up on prospect and client meetings. 

  1. Ensure SVPs have accurate, complete presentation materials and most up-to-date client information prior to calls and meetings. 

  1. Set up and break down conference rooms before and after meetings. 

  1. Run reports and follows up to ensure SVPs complete tasks on time.  

  1. Draft and edit outgoing correspondence. 

  1. Answer any incoming calls that are missed by our Reception team. 

  1. Perform other office-wide tasks as requested. 

  1. Run personal errands and handle ad hoc requests to ensure seamless day-to-day support. 

 

QUALIFICATIONS: 

  • Bachelor’s degree (BA) 

  • 3+ years’ experience working with senior executives in a demanding, high-pressure environment managing multiple calendars. 

  • Experience in the wealth management or finance industry a plus. 

  • Prior experience managing multiple email inboxes and task management for busy executives. 

  • Well-versed in technology and its applications in a professional role; picks up new systems and processes quickly. 

  • Proficiency in Microsoft Suite tools (Outlook, Excel, Word, and PowerPoint). 

  • Exceptional written and verbal communication skills. 

  • Demonstrates impeccable work quality, holding oneself to the highest standards of excellence, accuracy, and thoroughness. 

  • Self-starter with strong administrative and organizational skills.
